Information notice regarding the processing of personal data by EU24h.
The European General Data Protection Regulation 2016/679 of April 27, 2016
protects the privacy and rights of individuals, which is also of paramount importance
to EU24h.
The purpose of this information notice is to define the conditions under EU24h
processes the personal data of its clients, individuals who have expressed an
interest in its activities, suppliers/service providers who work for it, and partners with
whom it implements training programs.
This Notice informs you about the processing of your personal data by EU24h, as
data controller, during and after your contractual relationship with it, in
accordance with the GDPR.
What personal data is processed?
Personal data or personal data is information that allows a natural person to be
identified, directly or indirectly.
In order to provide a comprehensive and high-quality service, EU24h processes
various categories of personal data:
personal identification data that allows us, among other things, to contact you
(e.g., last name, first name, address, date of birth, nationality, telephone number,
email
address, as needed);
personal data relating to your training at the EU24h (contract
numbers, participant names, certificates of participation and completion, etc.)
allowing us to fulfil our commitments (including recordings of specific sessions based
on the participant consent), namely the execution of training courses and the
resulting tasks.
Personal data relating to your professional background if the training is
customized. data allowing us to organize your travel abroad if you are participating in
an ATTF training course (passport, visa, nationality, etc.),
Data relating to your image, which, based on your express consent prior to a
training session, allows us to film and/or record you and use this data in the context
of our training activities. The specific purpose will also be notified to you when you
request consent.
Data collected by video surveillance and which concerns your image.
Data relating to your visit to our buildings when using the parking lot (license
plate, times of use of a space). Only data relevant and necessary for the
performance of our services is collected, processed, and stored in strict compliance
with the principle of data minimization.
Clause regarding the recording of videos during online exams
In the context of online exams, videos may be recorded to ensure the integrity of
the test and prevent any attempts at cheating. By participating in this type of exam,
the
participant agrees to the capture of images and videos of the session for the entire
duration of the exam.
Videos will be deleted immediately after the exam, unless fraud is suspected. In
the latter case, the videos in question will be retained for a maximum of one month to
allow for the management of any potential claims or other investigations related to
the incident.
Recorded videos will be stored securely and protected against unauthorized access.
The necessary technical and organizational measures are in place to ensure the
security and confidentiality of your data.
On what basis and why is your Data used?
The processing of your Data is necessary for the conclusion and execution of your
Contract or any other commitment with the Office House Capellen and to comply
with the legal provisions to which the Office House Capellen is subject. The data you
provide allows us to:
manage and deliver our training courses, whether in person or remotely,
transmit the necessary information to our partners and subcontractors to deliver
the training,
manage our contractual relationship with our clients,
inform our clients of new developments that may be useful to them and offer
them comprehensive training advice,
keep those who have expressed an interest through express consent (e.g., by
subscribing to our newsletter) informed of our activities and new developments,
To ensure the safety of resident staff and visitors,
To manage the operation of the parking lot when it is used,
To transmit the required information to the authorities that have the legal right to
do so, such as tax authorities.
Who has access to your Data?
Your Data is used by our employees, strictly within the framework of the tasks
assigned to them. Your data is also shared with the following recipients as part of
their
contract with the Office House Capellen:
Our institutional partners (administrations, professional chambers and
associations, federations)
Our private partners (such as schools, other training centres, etc.) with whom we
develop a joint offering
Our subcontractors (such as trainers, IT hosting platforms such as e-learning, etc.)
Our other service providers useful to the proper functioning of our business (IT
service providers, printing services, insurance companies)
In accordance with the contractual provisions and applicable data protection
legislation, the partners and subcontractors of the Office House Capellen undertake
to process personal data solely for the purpose of fulfilling their contractual
obligations towards the EU24h and to take the necessary measures to ensure that
the confidentiality of this data is respected by their staff.
If the learner has registered for a training course in their own name, their
potential employer will not have access to attendance certificates, achievement
certificates, and exam results and must therefore contact the learner directly to
receive or view them.
How long is the Data retained?
As a client (private or legal entity) or supplier, your Data is retained for the
duration of your contract, as well as after its termination for the period necessary to
fulfill our legal or contractual obligations, or until you ask us to no longer process it if
the processing was based on your consent (e.g., when requesting information about
our training courses).
The personal data required to issue training certificates is retained for a period of
10 years.
What are your rights? The Personal Data Protection Regulation specifies, within
the limits provided for by the applicable texts, that you have the right, to
request, free of charge:
access to your personal data, request its rectification or erasure, obtain a restriction
on its processing object to its use for direct marketing purposes data portability.

the right to ask you to complete the dedicated form* and provide a scan/paper copy
of your identity document so that we can verify your identity before processing your
request. You also have the option to file a complaint, if you have any doubts about
EU24hs compliance with applicable personal data protection rules, with a
supervisory authority such as the National Commission for Data Protection (CNPD.
Protection against fraudulent requests for personal data
EU24h wishes to remind you that no requests for personal data will be made by
telephone, regardless of the purpose. Any request claiming to come from
EU24h in this context must be considered fraudulent.
